The Wolf Trap Foundation for the Performing Arts is a nonprofit organization founded in 1971 by Catherine Filene Shouse (1896-1994) that presents and produces a full-range of performance and education programs in the Greater Washington, D.C. area, as well as nationally and internationally. Wolf Trap is home to three performance venues, the Filene Center and Children’s Theatre-in-the-Woods at Wolf Trap National Park for the Performing Arts, and The Barns at Wolf Trap. It also programs and operates the Wolf Trap Opera Company and year-round education programs for children of all ages. Reporting to the Directors of Theater & Music/Dance, the Academic and Office Coordinator manages the coordination of the Music and Theater & Performance Studies academic programs in Performing Arts, including major and minor degrees in addition to coordinating the front office functions, providing administrative support to the unit at large. JOB SUMMARY:
The Administrative Assistant will support the Woodruff Administration’s Senior Staff (including the Senior Executive Assistant to the President, Director of Strategic Initiatives and Vice President for Operations). This is primarily a clerical position that demands accuracy, efficiency, and strong written and oral communication skills. In addition, a strict attention to detail and a courteous, customer friendly attitude is essential.

ESSENTIAL DUTIES AND RESPONSIBILITIES INCLUDE :
• Assist with scheduling a wide variety of internal and external meetings, including scheduling attendees, managing room reservations, catering, set-up and RSVPs/tickets if necessary.
• Assist in document preparation and provide other assistance and support as requested.
• Setup and maintain office files and manuals.
• Answer phone calls, take messages, and schedule appointments.

LANGUAGE AND INTERPERSONAL SKILLS:
• Excellent written and oral communication skills.
• Outstanding interpersonal skills with ability to successfully interact with a diverse group of people.
• Must display professionalism in all settings.

OTHER REQUIREMENTS:


  • The administrative assistant must be a self-starter with the ability to work with others in a dynamic, fast-paced setting.
  • S/he must have the ability to manage and work effectively in a high-pressure vibrant environment with multiple concurrent priorities.
